Privacy Policy
This policy explains what we do with your personal information when you ask us for a quote, book a clearance, or contact us. It is written in plain English rather than legal shorthand, because it is meant to be read.

1. Who we are
AM Rubbish Clearance Ltd is the "data controller" for the information described in this policy. That means we decide what personal information is collected and what happens to it, and we are responsible for looking after it.
- Company
- AMRUBBISHCLEARANCE LTD, a company registered in England and Wales, company number 13539753.
- Registered address
- 145 Horton Road, Slough, Berkshire, SL3 9HW
- Phone
- 07857 647238
- Waste carrier registration
- CBDU435706 — Carrier, Dealer - Upper Tier, on the Environment Agency public register.
If you have any question about this policy, or about anything we hold about you, email info@amrubbishclearance.co.uk or call 07857 647238. You will reach the people who run the business, not a call centre.
2. What this policy covers
This policy covers the personal information we handle when you use this website or deal with us in any other way — by phone, by text, on WhatsApp, by email, or in person on the day of a clearance.
It does not cover other companies' websites. Where we link out — to WhatsApp, to Google, to the Environment Agency register or to Companies House — those organisations have their own privacy policies, and following the link takes you outside our control. See our Cookie Policy for what that means in practice.
3. The information we collect
We only ask for what we need to price a job and turn up at the right place with the right vehicle. In practice that is:
- Details you type into the quote form
- Your name, email address, phone number, postcode, the type of clearance you need, and whatever you write in the message box.
- Photos you upload
- Pictures of the items or the space to be cleared. These sometimes show the inside of a home, so we treat them carefully — see section 6.
- What you tell us on the phone, by text or on WhatsApp
- The same sort of information, plus any notes we make so we can quote accurately and find the property on the day.
- Job and address details
- The collection address, access arrangements (parking, stairs, gate codes), the date and time, and a description of the waste we removed.
- Payment and invoice records
- The amount, the date and the method. We do not store card numbers.
- Correspondence
- Emails, messages and notes of calls, including anything relating to a complaint or an insurance claim.
We do not buy marketing lists, we do not add you to a mailing list just because you contacted us, and we do not sell your information to anybody. Ever.
We do not deliberately collect "special category" information — things like health details or religious beliefs. Occasionally a clearance involves circumstances you may choose to mention, such as a bereavement or an illness. If you tell us, we use it only to carry out the work sensitively, and we do not record more than we need.
4. Why we use it, and our lawful basis
UK data protection law requires us to have a specific reason — a lawful basis — for each thing we do with your information. Ours are:
| What we do | Information used | Lawful basis |
|---|---|---|
| Reply to a quote request | Name, contact details, postcode, job details, photos | Taking steps at your request before entering into a contract |
| Arrange and carry out a clearance | Name, contact details, address, access and job details | Performance of our contract with you |
| Keep waste transfer records | Collection address, description of the waste, date | Legal obligation — the waste duty of care under the Environmental Protection Act 1990 |
| Invoice you and keep accounts | Name, address, amount, payment record | Legal obligation — company and tax law |
| Answer a phone, text or WhatsApp enquiry | Phone number, message content, any photos you send | Our legitimate interest in responding to people who contact us |
| Deal with a complaint, dispute or insurance claim | The relevant job and correspondence records | Our legitimate interest in defending the business, and establishing or defending legal claims |
| Keep the website working and secure | Technical request data handled by our hosting provider | Our legitimate interest in keeping the site available and protected from abuse |
Where we rely on "legitimate interests", we have considered whether our reason is fair to you and concluded that it is — responding to an enquiry you sent us, or keeping a record in case of a dispute, is what a reasonable person would expect. You can object to any of it: see section 11.
5. Marketing
We do not run email or text marketing campaigns. Asking us for a quote does not sign you up to anything.
If we ever contact a past customer about a service, we will only do so where the law allows it, and every message will carry a simple way to tell us to stop. You can also tell us at any time by replying to any message or emailing info@amrubbishclearance.co.uk, and we will act on it straight away.
6. Photos you send us
Photos are the fastest way to get an accurate price, which is why we ask for them. They also tend to show more than the rubbish — the inside of a room, a garden, sometimes a vehicle registration or a house number.
So: we use your photos to quote and to plan the job, and for nothing else. We do not publish a photo of your property, your possessions or your clearance on our website, on social media or anywhere else unless you have specifically told us we may. The before-and-after images on this website are used with the customer's agreement.
Photos are deleted along with the rest of the enquiry or job record, on the timescales in section 9. If you want a photo deleted sooner, ask and we will remove it.
7. Who we share it with
We do not sell or rent your information. We share it only where we have to in order to run the business, and only as much as is needed:
- FormSubmit — the website quote form
- The form on our contact page is delivered to our inbox by a third-party service, FormSubmit (formsubmit.co). Whatever you type into the form, including any photos, passes through that service on its way to us. If you would rather not use it, phone, text, WhatsApp or email us instead — the details are in section 1.
- Our email and phone providers
- Your message has to be stored somewhere for us to read it. Our email and mobile providers hold that correspondence in the ordinary way.
- If you message us on WhatsApp, that conversation is handled by WhatsApp under its own privacy policy. We use it because customers ask for it, but you are free to use any other channel.
- Our website host
- This website is hosted on Cloudflare Pages, which serves the pages and protects the site from abuse.
- Licensed waste transfer stations and recycling facilities
- We give them the information required on a waste transfer note — typically the collection address, the date and a description of the waste. This is a legal requirement, not a choice.
- Our accountant and insurer
- Invoices and job records where they are needed for accounts, tax or a claim.
- Anyone we are legally required to give it to
- For example the Environment Agency, HMRC, the police or a court, where there is a proper legal basis for the request.
8. Sending information outside the UK
Some of the services we rely on — the form delivery service, WhatsApp and our website host among them — are run by companies based outside the United Kingdom, so your information may be processed abroad.
Where that happens, the transfer is covered either by UK adequacy regulations, which recognise the destination country as having equivalent protection, or by the standard safeguards UK law provides for international transfers. If you would like details of the safeguards that apply to a particular service, email info@amrubbishclearance.co.uk and we will tell you.
9. How long we keep it
We keep information for as long as we need it and no longer. Some of these periods are fixed by law; the rest are our own policy.
| Record | How long | Why |
|---|---|---|
| Enquiries that do not become a job | 12 months from your last contact with us | So we can pick up where we left off if you come back to us, and answer any query about the quote we gave |
| Photos sent for a quote | Deleted with the enquiry or job record they belong to | They serve no purpose once the job is priced and done |
| Customer records for completed jobs | 6 years after the job | The period in which a contract claim can normally be brought |
| Waste transfer notes | At least 2 years | Required by the waste duty of care regulations |
| Hazardous waste consignment notes, where any apply | At least 3 years | Required by the hazardous waste regulations |
| Invoices and accounting records | 6 years from the end of the financial year | Company and tax law |
| Complaint and insurance records | 6 years after the matter is closed | So we can deal with anything that comes back |
When a retention period ends we delete the record, or anonymise it so it can no longer be linked to you.
10. How we protect it
This website is served entirely over an encrypted HTTPS connection, so anything you send through the quote form is encrypted in transit. Access to enquiries, job records and photos is limited to the people in the business who need it to do the work.
No system is perfectly secure, and we will not pretend otherwise. If a breach ever happened that put your rights at risk, we would tell you, and we would report it to the Information Commissioner's Office within the time the law allows.
11. Your rights
You have the following rights over the information we hold about you. They are free to use, and using them will never affect the service you get from us.
- See what we hold
- Ask for a copy of your personal information and an explanation of what we do with it.
- Correct it
- Have anything inaccurate or incomplete put right.
- Have it deleted
- Ask us to erase it, where we have no continuing reason or legal duty to keep it.
- Restrict what we do with it
- Ask us to pause using it — for instance while a dispute about its accuracy is sorted out.
- Object
- Object to us using your information where we rely on legitimate interests, and to any direct marketing at any time.
- Take it elsewhere
- Receive the information you gave us in a portable electronic format, or have us send it to someone else.
- Withdraw consent
- Where we relied on your consent for something, withdraw it at any time. That does not undo what was done beforehand.
To use any of these, email info@amrubbishclearance.co.uk or call 07857 647238. We will reply within one month. We may ask you to confirm who you are first, so that we do not hand your details to someone else.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk, or on 0303 123 1113. You do not have to come to us first.
12. Cookies and website analytics
This website does not set any cookies, does not use analytics, and does not carry advertising or tracking pixels. Loading a page here does not tell any third party that you visited. Our Cookie Policy explains this in full.
13. Children
Our services are aimed at adults, and we do not knowingly collect information about children. If you believe a child has sent us personal information, contact us and we will delete it.
14. Changes to this policy
If we change how we handle personal information — for example if we start using website analytics — we will update this page and change the date at the top. Where a change materially affects you, we will do more than that and tell you directly.
15. How to contact us
For anything to do with your personal information, contact AM Rubbish Clearance Ltd at info@amrubbishclearance.co.uk, on 07857 647238, or by post at 145 Horton Road, Slough, Berkshire, SL3 9HW.
Our Terms and Conditions cover the clearance service itself — what our prices include, cancellation, and your rights if something goes wrong.
